Facilities Management in Auckland

Open-plan office interior with workstations and a lounge area

Facilities management is the job of keeping a building working so the people inside it can get on with theirs. Not one trade, and not one contract - the coordination of everything a property needs to stay safe, compliant, presentable and open.

NPM Management provides facilities management for commercial property across Auckland: retirement villages, aged care facilities, social housing, schools, offices, retail and industrial sites. We run the planned programmes, the reactive callouts, the trades and the specialists, under one team and one point of contact.

We have been doing this for over ten years, across more than 3,000 completed projects, for clients including Metlifecare, Oceania, BUPA, The Selwyn Foundation, Haumaru Housing and AA Home. We hold Totika health and safety accreditation.

What facilities management covers

The industry splits it into hard and soft services, and the split is useful because the two fail differently.

Hard services

are the building and everything fixed to it - structure, fabric, roof, services, plant and the systems that make the building habitable. When a hard service fails, the building stops working.

Soft services

are the things that make a building pleasant and usable - cleaning, grounds, waste, pest control, presentation, security hardware. When a soft service slips, nothing breaks; the building just gets steadily worse, and the people in it notice long before anyone reports it.

Most facilities management failures happen in the gap between the two, where each contractor assumes the other has it.

The services we run

Each of these has a page of its own. The point of an FM contract is that you do not have to think about which one a given problem belongs to.

Commercial property maintenance

the broad ongoing service across a property or portfolio: grounds, exteriors, presentation, common areas and cleaning.

Commercial building maintenance

the building fabric: roofing, cladding, weathertightness, carpentry, remedial and insurance work.

Planned preventative maintenance

the costed annual programme that schedules the work before things fail.

Reactive and emergency repairs

when something fails anyway: triage, make-safe and repair.

Asbestos removal and demolition

licensed removal, surveys and demolition, common in the older building stock we work in.

Comprehensive trade services

the full trade list, from carpentry and plumbing to specialist cleaning, coordinated by one team.

Renovations and refurbishment

when a space needs changing rather than maintaining.

Commercial painting

interior and exterior repaints, preparation and coatings, planned around business hours.

Grounds and exterior maintenance

mowing, gardens, hedges, building washing, water blasting, gutters, roofs and windows.

Building Warrant of Fitness

the compliance schedule, the IQP inspections and the defect repairs, coordinated on one calendar.

Integrated facilities management, and why it is worth it

The alternative to integrated FM is not cheaper. It is a property manager holding fifteen separate relationships, fifteen invoicing arrangements and fifteen versions of "that is not our scope".

Integrated facilities management puts all of it behind one contract and one accountability line. Practically, that means:

One point of contact

who knows the building, rather than a call tree

No scope gaps

When a repair uncovers a second problem, it gets fixed rather than becoming a scheduling negotiation between two contractors

Consistent standards

across every service and, on a portfolio, across every site

One reporting line

so the maintenance position of a property or a portfolio can actually be looked at

Compounding knowledge

A team that has maintained a building for years knows where the isolation valves are, which roof section keeps failing, and what was deferred last year

Our own in-house team carries out a substantial share of the work, and the specialists we bring in are ones we have used for years and review continually.

Facilities management, a maintenance contract or trade services: which do you need?

The three overlap, and the right one depends on how much you want to hand over.

Trade services

you know what needs doing and want it done well: one call, the right trades in the right order, one invoice. See comprehensive trade services

A maintenance contract

you want the building or the portfolio kept in order on a planned cycle, with reactive repairs handled under the same arrangement. See commercial property maintenance and commercial building maintenance

Facilities management

you want one provider accountable for everything the building needs to stay safe, compliant and open: the compliance calendar, the contractors, the planned programme, the call-outs and the reporting. That is this page

You can start anywhere on that list. We will tell you which one fits the building rather than sell you the largest.

Multi-site and portfolio facilities management

Running facilities management across a portfolio is a coordination problem more than a technical one. The work is the same; keeping it consistent across sites is what is hard, and it is where most arrangements quietly fail.

We run multi-site portfolios under one programme, one standard and one reporting line - which is what a national or regional owner actually needs, and the basis of a client testimonial we already publish recommending us for national and multi-site work.

What drives the cost of facilities management

There is no standard price for facilities management, because no two buildings need the same amount of looking after. What we price from:

The building

age, construction, condition and how much deferred work it is carrying. An older building with a backlog costs more to run in the first year than a newer one, and less once the backlog is cleared

What is in it

the plant, services and specified systems that need scheduled servicing and inspection, and whether any of them sit on a Building Warrant of Fitness compliance schedule

How it is used

an occupied retirement village or a school needs work planned around people and term breaks; an empty warehouse does not

The scope

hard services only, or hard and soft services together; planned work only, or planned and reactive under one arrangement

Sites

one building, or a portfolio, where keeping the standard consistent is the work

We walk the property first, then put a documented scope and price in front of you before anything starts. Where a planned programme is part of it, the planned preventative maintenance page explains how that programme is built and costed.

Sectors we work in

Retirement villages and aged care

occupied-premises work around residents and care staff, with resident safety and infection control front of mind

Social and community housing

tenanted portfolios on planned cycles

Schools and education property

work planned into term breaks

Body corporates and apartment buildings

common areas, exteriors and long term maintenance planning

Offices and retail

presentation-critical space where downtime costs money

Industrial and warehousing

hardstanding, exteriors, services and fabric

The first three are where facility management gets genuinely difficult, because the building cannot be emptied and the people in it are often vulnerable. That is the work we have built the business around.

Health, safety and compliance

Facilities management is where a building's safety obligations actually get discharged - the hazards that accumulate between inspections, the systems that need servicing on schedule, the contractors who need inducting before they set foot on site.

We hold Totika health and safety prequalification and manage safety through Safe365. Our teams work in live, high-traffic and resident-occupied environments as the norm, and we coordinate specialist certification so it happens on schedule rather than being remembered late.
